With a done-for-you summit on EventRaptor, our team plans the strategy, recruits and manages the speakers, builds the pages and emails, sets up promoter links, supports the live days and connects every registrant to follow-up in CRMRaptor. You choose the topic, teach, host and make the offer.

This page is for coaches, therapists, healing practitioners and other experts who are good at their work. You've helped plenty of people, but new clients still turn up in bursts. [A summit can put you in front of the right people](/why-you-should-host-a-virtual-summit) as the expert worth calling. You just don't want to spend months as a part-time project manager to get there, which is why [what you delegate first](/coaching-business/what-to-delegate-first-coaching-marketing) matters.

Jennie and I have run 13 summits of our own and over 40 summits for clients, and we've offered done-for-you and done-with-you production since February 2022. Below is how the work gets split up, and how to choose the level of help that suits you.

## Key Takeaways

- Decide your topic and the offer you'll make first, because every page, email and speaker invitation gets built around them.
- Hand the speaker admin, pages, emails, promoter links and Zoom setup to our team if you'd rather spend your hours teaching and hosting.
- Set up your follow-up in GHL/CRMRaptor before registration opens, so attendees who want help can book a call while the event is still fresh.
- Choose done-for-you, done-with-you or self-serve based on your time and how comfortable you are with tech, and avoid [the done-for-you trap](/coaching-business/coaching-done-for-you-trap). All three run on the same EventRaptor platform.
- If you're a licensed therapist, keep the content educational and check your board's advertising rules before you promote anything.

## What Our Team Builds and Runs for You

### Strategy, Theme and Positioning

We start with research and the decisions that shape everything else: who the summit is for, the problem it solves, the title, the format, the dates, and what you want it to produce in registrations and booked calls. The content comes first and the speakers second. Once you have a clear topic and a session flow, it's easier to know who to invite, and easier for those speakers to say yes.

We also decide how the summit will make money. A common model is free registration with a paid VIP upgrade. At Own Your Stage, the first summit Jennie and I ran on EventRaptor, we sold 109 VIP tickets at $47. EventRaptor takes [no ticket fees on summit sales](/pricing-plans). If you're still getting your head around the format, here's a plain guide to [what a virtual summit is and how coaches and experts use one](/what-is-a-virtual-summit).

### Speakers and Agreements

Our team builds your speaker list, drafts the invitations and manages everything after a speaker says yes. We draw on the EventRaptor speaker directory, which lists more than 3,800 speakers who want to be invited to events. We also use Speaker Connections, Jennie's free networking event on Zoom where speakers and hosts meet on the first and third Tuesday of each month.

Speakers apply, sign their agreements and upload their materials through the platform, so you don't end up with a pile of email threads. Their profiles, session pages and your schedule are all generated from those records, so nobody has to build a speaker page by hand.

### Pages, Emails and Promoter Links

We build the registration page, thank-you page, attendee dashboard and VIP sales page. We also write the copy, the swipe emails your speakers send, the session descriptions and the speaker introductions. Welcome emails, reminders, VIP promotions and follow-up emails all go out automatically, timed to the event.

Every speaker gets a unique promoter link, plus a leaderboard they can see. That matters more than it sounds. More than 5,000 people on our own list came from other speakers promoting our summits.

### Live Days and Follow-Up

Live sessions run on Zoom. Our team sets up the Zoom meetings, the run of show and the join links, so all you have to do is walk into the room and teach. Registrants sync to GHL/CRMRaptor with tags the moment they sign up, and we build the booking flow and nurture emails behind the event. Someone who hears you on day two can book a call on day three. You can see every tool involved on our [virtual summit software features](/features) page.

## What You Still Do as the Host

[Four jobs stay with you](/coaching-business/campaign-role-clarity): choosing the topic, teaching, hosting and making the offer. They're the parts of the summit that only work when they come from you.

One thing worth doing yourself is a personal note to your top-choice speakers. Summit consultant Jaime Slutzky said on the podcast that hosts get far more success when they do that direct outreach themselves and then hand each yes over to the team. She described the host as the face of the summit, the person who sets its culture.

The offer is the job I'd underline twice. At one of our summits I was too exhausted to put a proper offer together. Speakers and attendees loved it, and it added 476 new people to our list, but it made only about $1,800 during the event. Those people will keep buying for years, so I still count it as a success. It also taught me never to take my eye off the offer again.

You don't need to be a natural on stage, either. I'm an extreme introvert, and at my first summit I barely introduced myself for the first two days. I only started pushing through the fear on day three.

[Therapists and practitioners hosting a summit](/summit-planning/virtual-summits-for-therapists-explained) have a few extra things to keep in mind. Frame every session as education, make no promises about mental health outcomes, and never use client stories or testimonials. Check your licensing board's advertising rules before the summit goes public. Handing over the build can feel risky when your work is this personal, so it helps to read up on [keeping your coaching voice intact when a team builds for you](/coaching-business/keep-your-coaching-voice-intact-when-team-builds-funnel).

## Choosing Between Done-For-You, Done-With-You and Self-Serve

| | Done-for-you | Done-with-you | Self-serve |
|---|---|---|---|
| Who builds it | Our team plans, builds and runs the summit | We plan it with you and help you run it on EventRaptor | You build and run it on EventRaptor |
| Your main jobs | Topic, teaching, hosting, the offer | Those four, plus parts of the build | All of it, backed by 24/7 live chat and email support |
| A good fit if | Your client calendar is full and you'd rather never touch the tech | You want to learn how it works, or you have a VA who can help | You're comfortable with software and want full control |

Self-serve is more realistic than most people expect. We designed EventRaptor around a 70-year-old group coaching client who had only been using computers for two or three years. In December 2021 she ran a 12-speaker summit on it without help from anyone. If that's your route, start with [the 13-week plan and checklist for your first virtual summit](/summit-planning/first-virtual-summit-small-list-90-days).

Here's what done-for-you looked like for one host. Lucy Bedewi, a personality-driven copywriter, hosted the Out-Earn Your Man summit in September 2021, and we produced it for her on EventRaptor. Her email list grew from 25 people to 825. She booked 4 discovery calls right after she presented, all 4 became clients, and her talk brought in $10K in sales. This is one person's result. It doesn't predict results for another host.

## Frequently Asked Questions

### Do I Need a Big List to Host a Summit?

No. I ran my first summit eight weeks into a brand-new coaching business, with about 100 people on my list. With 27 speakers over four days, it grew to 750. Your speakers bring their audiences, and promoter links make it easy for them to share.

### Do I Have to Leave GoHighLevel to Use EventRaptor?

No. EventRaptor sits on top of GoHighLevel as the summit layer. You keep GHL/CRMRaptor for your CRM, calendars and sales, and registrants sync across with tags so your follow-up can start straight away.

### Can a Therapist Host a Virtual Summit?

Yes, as long as it's an educational event. A summit lets you teach, stand alongside respected peers and build referral relationships without a hard sell. Keep it clear that the content isn't therapy, make no promises about outcomes, leave out client stories, and check your licensing board's advertising rules.

### What Doesn't EventRaptor Do?

Live sessions run on Zoom. EventRaptor doesn't include in-event networking, Q&A or polls, or team accounts. It does have video view analytics, so you can see how session and replay videos are viewed, and video hosting is available through CRMRaptor, EventRaptor's GoHighLevel solution, so your session recordings and replays don't need a separate video host. If any of the missing features is essential to your plans, raise it early so we can plan around it.

## Your Next Step

Before you talk to anyone, write two sentences. The first names who your summit is for and the problem it helps them with. The second describes the offer you'd make to attendees who want more help. Those two lines will shape every decision that follows.

Then bring them to us. We'll talk through your topic, your offer and how much of the build you want to carry yourself, and tell you honestly whether done-for-you, done-with-you or self-serve makes sense right now. [Book your Client Attraction Planning Call](/planning-call).
