If you're a coach planning a multi-speaker summit and you've already decided you don't want to piece it together from Zoom, a funnel builder and a spreadsheet, you've probably narrowed it down to two names: EventRaptor and HeySummit. Both are built specifically for summits.
Here's the short version. HeySummit takes a percentage of your ticket sales and caps attendees by plan. EventRaptor takes no ticket fees, syncs registrants and speakers to GoHighLevel, and includes speaker agreements, giveaways and a done-for-you team. It also has video view analytics, and video hosting is available through CRMRaptor, our GoHighLevel solution. But EventRaptor doesn't have team accounts or in-event Q&A and polls. Weigh those gaps honestly.
I'm Steve Eriksen. Jennie and I built EventRaptor, so you know which side I'm on before you read another word. I've kept to differences you can check for yourself, based on research we did in September 2026. I won't quote either company's prices, because prices change.
This is written for coaches, therapists and expert-led service businesses who already help people well, but whose clients still arrive in bursts. A summit is often the move that changes that. The software is the place where the work either gets lighter or gets heavier.
Key Takeaways
- Work out whether you'll sell VIP passes before you choose, because a percentage ticket fee grows as your sales grow and EventRaptor takes none.
- Check your registration goal against any plan's attendee cap so a successful promotion doesn't push you into a surprise upgrade.
- If GoHighLevel already runs your follow-up, pick the platform that sends registrants into it with tags, or plan the time to build that connection yourself.
- List the in-event features you really need (polls, Q&A) and confirm them before signing up, since EventRaptor doesn't offer those.
- Decide early whether you want to run the summit yourself or hand it to a team, because only one of these two companies offers a done-for-you service.
What the Two Platforms Have in Common
Both tools understand what a summit is. They have speakers, sessions and schedules built in, and that's a big deal. If you've ever tried to run a summit from a general funnel builder, you'll know the pain of building every speaker page, link and schedule by hand.
So you're past the hardest decision already. What's left is how each one handles money, contacts, speakers and the work around the event. If you'd like a wider framework before you narrow it to two, our guide to choosing virtual summit software for an expert-led business walks through scoring any option.

How Ticket Fees and Attendee Caps Change the Math
A percentage fee feels small when you're planning. It feels bigger once the VIP offer starts selling.
For our own Own Your Stage summit in February 2022, Jennie and I sold 109 VIP tickets at $47, and the summit passed $24,000 in sales within two weeks of the event. EventRaptor takes no ticket fees, so the platform didn't take a cut of those sales. That was our summit, and it doesn't predict what yours will do. Still, it shows why the fee question matters more the better your offer converts.
Caps work in a similar way. A free summit grows through registrations, and speakers promoting to their lists can push numbers past what you planned. With HeySummit, attendees are capped by plan, so look at where your plan's ceiling sits compared with your registration goal. If you want the full cost picture, including Zoom, setup hours and VA time, our breakdown of what a virtual summit really costs to run covers it.
Getting Registrants Into GoHighLevel
This is the row I'd look at hardest if you already use GoHighLevel (or CRMRaptor, our white-labelled version of it).
EventRaptor sends registrants and speakers into GHL/CRMRaptor with tags, VIP status and promoter attribution. A registrant who upgraded to VIP through a particular speaker's link arrives in your CRM already marked that way, so your follow-up workflows can start straight away. HeySummit has no GoHighLevel integration, so you'd be building that bridge yourself.
Why does it matter so much? Because the summit only starts the relationship. I've watched coaches add hundreds of people to their list and convert few or none, because nothing happened after the event. In my experience, a good follow-up process might turn 10 to 15% of them into clients. That's my experience, not a promise. But you can't follow up well with contacts that are stuck in a spreadsheet.
Speakers, Paperwork and Promotion
Quisha Umemba, who has run public health and diabetes summits, said on a podcast that speaker management was probably the most time-consuming part of the whole thing for her. She collected bios, agreements and documents from every speaker, and starting six months early was how she kept it under control.
EventRaptor puts that work in one place:
- Speakers apply or get invited, and you accept or decline them from a review queue.
- Agreements are signed with a drawn signature or typed initials, and you get a signed PDF with status tracking. This is on the Power and Agency plans, and you can require a signed agreement before a session goes on the calendar.
- Every speaker gets a promoter link, and there's a leaderboard they can all see.
That leaderboard does more than you'd think. More than 5,000 people on our own list came from other speakers promoting our summits. When speakers can see who's sharing, more of them share. Here's how to set up a promoter program your speakers will actually use.
Finding speakers comes first, of course. Our speaker directory lists more than 3,800 speakers who want to be invited to events. Jennie also runs Speaker Connections, a free Zoom networking event on the first and third Tuesday of each month where usually 70 to 110 speakers and hosts meet.
Giveaways and Done-for-You Help
Two extras might make the decision for you.
The first is collaborative giveaways. EventRaptor lets contributors apply, add their gifts and compete on a leaderboard, which gives you another way to grow your list between summits.
The second is having someone else run it. We've offered done-for-you and done-with-you summit production since February 2022, and we've hosted 13 summits of our own and over 40 summits for clients. When our team produces a summit, we set up Zoom, write the session descriptions and speaker introductions, and handle the pages, reminders and CRM sync. Your job is to teach, host and make your offer. Among done-for-you summit providers, we're the only one that also owns the software it runs on.
One example: Lucy Bedewi, a personality-driven copywriter, hosted the Out-Earn Your Man summit in September 2021, which we produced for her. Her list grew from 25 people to 825. She booked 4 discovery calls right after she presented, and all 4 became clients. That's one person's result, and it doesn't predict results for another host.
What EventRaptor Doesn't Do
You should know this before you get on a call with anyone, me included.
- There are no team accounts.
- There's no in-event networking, Q&A or polling.
If any of those has to live inside the summit platform itself, check HeySummit's current feature list directly rather than taking my word on what they offer. Plenty of coaches are happy to run Q&A in the Zoom chat. Some aren't, and that's a fair reason to choose differently.
On video, live sessions run on Zoom. Video hosting is available through CRMRaptor, our GoHighLevel solution, so session recordings and replays don't need a separate video host, and EventRaptor's video view analytics let you see how session and replay videos are viewed.
Which Kind of Coach Each Platform Tends to Suit
EventRaptor tends to suit you if GoHighLevel already runs your follow-up, you plan to sell a VIP pass, you're counting on speakers to promote, or you'd rather have a team carry the build while you focus on content and your offer.
HeySummit may suit you if you don't use GoHighLevel and your current setup works fine without it, if your summit is free and comfortably inside a plan's attendee cap (so the fee and cap differences shrink), or if one of the in-event features EventRaptor lacks is essential to how you host.
If you're a therapist or healing practitioner, the platform choice matters less than how you promote the event. Check your licensing board's advertising rules, and present the summit as education. It shouldn't be framed as therapy.
Before you pick, answer these on paper:
- How many speakers, and how many days?
- Free, paid, or free with a VIP upgrade?
- What's your registration goal?
- Which CRM will run your follow-up?
- Do you need signed speaker agreements?
- Which in-event features are non-negotiable?
- Will you run it yourself, with a VA, or with a production team?
If a VA is pushing you toward a general tool instead of either of these, this piece on what to ask the person you hired is worth ten minutes.
Frequently Asked Questions
Does EventRaptor Charge Fees on Summit Ticket Sales?
No. EventRaptor takes no ticket fees on summit sales. HeySummit charges a percentage fee on ticket sales, so the difference grows as your VIP or paid ticket sales grow.
Does HeySummit Integrate With GoHighLevel?
According to our September 2026 research, HeySummit has no GoHighLevel integration. EventRaptor syncs registrants and speakers to GoHighLevel with tags, VIP status and promoter attribution, so follow-up workflows can start as soon as someone registers.
Can I Host Summit Videos Inside EventRaptor?
Video hosting is available through CRMRaptor, EventRaptor's GoHighLevel solution, so session recordings and replays don't need a separate video host. Live sessions run on Zoom, and EventRaptor has video view analytics so you can see how session and replay videos are viewed. It doesn't offer team accounts, or in-event Q&A, polls or networking, so confirm whether you need those before you choose.
Does EventRaptor Replace GoHighLevel?
No. EventRaptor is the summit layer that sits on top of GoHighLevel, handling speakers, sessions, pages, reminders and promoter links. You keep GoHighLevel for your CRM, calendars and sales follow-up.
Your Next Step
Fill in the checklist above with your real summit plan. The answers usually point clearly to one platform, and where they don't, you'll at least know which question still needs an answer.
